Administrative Assistant – Hybrid Toronto/GTA

Profile:

Canada Career Counselling is seeking a part-time Administrative Assistant for approximately 20 hours per week.  Typical work hours will be between 1:00 pm to 5:00 pm, Monday to Friday (some flexibility can be discussed). This role will support the Toronto Practice Lead, Operations Manager, Practitioners, and Consultants as an integral part of this busy, growing, entrepreneurial practice.  This position will be temporarily remote and will require the use of a personal computer.  In-office hours will be required one day per week.

Canada Career Counselling helps people to determine their ideal career direction and to make strategic decisions for their career development. Additionally, we provide psychotherapy and support our clients in addressing personal and mental health concerns.  Serving clients at our welcoming office in Toronto, as well as virtually, we are a team of Psychologists, Career Counsellors, and Personal Branding Specialists.

Tasks and Responsibilities Could Include:

Administration

  • Schedule client appointments
  • Answer web inquiries; providing interested individuals with relevant information
  • Provide excellent client support including ongoing client relationship management
  • Developing specific goals and plans to prioritize, organize, and accomplish work
  • Entering, recording, storing, and maintaining electronic information
  • Providing information to others by e-mail primarily
  • Sorting incoming email correspondence
  • Setting up and generating reports using online assessment websites
  • Filing records and reports digitally
  • Processing client payments on time and accurately
  • Completing editing tasks for various documents and reports

Tools and Technology

  • Working with, and troubleshooting online platforms such as the Microsoft Office Suite, our scheduling and accounting software
  • Proficient in Microsoft Office and able to learn new systems quickly is a must

 Minimum Qualifications:

  • 2 years of university completed. University student applications will be prioritized.
  • 1-2 years of experience in an Administrative Assistant, Receptionist, or similar role is an asset
  • Excellent English communication skills and other language skills are an asset

Registered Psychologist – Toronto/GTA

  • Registered Psychologists/Psychological Associates/Psychotherapists, and those working toward registration with the College of Psychologists of Ontario will be considered
  • Previous career counselling/life transition counselling experience is an asset, but not required
  • The successful candidate will be provided with training on our proprietary career counselling process

Are you our next Career Counsellor?

Using your strong counselling skills, you will support clients considering a career transition, impacting both their personal and professional well-being. Our clients are typically already working (from entry-level roles to professionals, executives, and entrepreneurs), but are often feeling stuck, unfulfilled, or uncertain about their careers. This is a counselling role – not a role designed to help clients find/gain employment. You will support clients as they develop their career identity and focus on their career and life path.

Delivering high quality support to clients through counselling sessions and psychological assessments is incredibly rewarding, as you witness your clients grow through professional momentum and personal fulfillment. There is great diversity in our client group as each individual comes with a unique background. Your counselling will address both their personal and career-related concerns.

Hours for this role will be flexible, with the goal of building to 30 – 40 hours a week, as the caseload grows.  Typically, up to 70% (minimum 50%) of working hours are client sessions, with the remaining hours comprised of case/file management, consultations, meetings, and project work. This can be an employee position where all hours are paid, or a contract position.

Qualifications:

  • Registered Psychologist/Psychological Associate or Registered Psychotherapist in Ontario
  • Current registration in good standing with the College of Psychologists of Ontario or with College of Registered Psychotherapists of Ontario
  • Strict adherence to the College of Psychologists of Ontario’s or College of Registered Psychotherapists of Ontario Standards and Professional Conduct
  • Proof of professional liability insurance
  • Available to work approximately 30 or more hours/week, including certain evenings and/or weekends. Hours will be determined collaboratively with Clinical Director
  • Excellent English communication skills, other language skills are an asset

Responsibilities: 

  • Provide in-person and online career counselling sessions for clients, as well as personal counselling if skills match client needs 
  • Respond to phone and web inquiries; provide information about our services; engage clients
  • Coordinate, interpret, and debrief client assessments during counselling sessions
  • Provide excellent client support; ongoing client relationship management
  • Participate in training sessions with Clinical Director and practitioner meetings as required 
  • Able to work from a remote and private setting

Registered Provisional Psychologist – Calgary, AB

What We Would Like to See from You:

Hours for this role will start as Part-Time, roughly 20 – 25 hours per week, with the goal of building to 30 – 40 hours per week, as your case load grows. A minimum of 60% of your working hours are client sessions, with the remaining hours comprised of inquiry calls, case/file management, consultations, meetings, and project work.

The Ideal Candidate Will:

  • Hold a Master’s or Ph.D. in Counselling Psychology or another Psychology discipline
  • Have experience in and a passion for career counselling
  • Have experience and interest in providing personal counselling for issues related to career, such as stress management, confidence issues, career and life transitions, job loss, interpersonal struggles, and workplace bullying
  • Be qualified and interested in (but not limited to) providing counselling to our Synthesis Psychology clients for issues including anxiety, depression, self-esteem, etc.
  • Training on psychometric assessments is an asset.
  • Be comfortable and efficient with using technologies for booking clients, team meetings, etc.
  • Have strong verbal communication and active listening skills
  • Be friendly and collaborative with others in the office
  • Have excellent organizational and time management skills
  • Have strong attention to detail
  • Be conscientious, finish tasks, and respect deadlines
  • Be accepting of feedback, open to new ideas and processes

Tasks and Responsibilities Include:

  • Handling phone and web inquiries, providing interested individuals with information about our services and processes, signing on new clients whenever possible and appropriate
  • Meeting with clients for a series of counselling sessions, supporting them through an individualized career counselling process and with related issues e.g. stress, anxiety, etc.
  • Reviewing psychological career and life assessments and debriefing results with clients
  • Following up with clients and helping them to stay engaged in the counselling process through regular communication
  • Actively participating in supervisory meetings, case consultations as well as regular staff meetings
  • Writing blog articles and other marketing pieces, as needed
  • Potentially facilitating career/life related presentations and workshops

Minimum Qualifications:

  • Currently or eligible to become a Registered Provisional Psychologist with the College of Alberta Psychologists
  • Available to work 20 – 25 hrs/week to start, including evening and weekend shifts, with the potential to work additional hours as case load grows
  • Excellent English communication skills, spoken and written
  • Relevant career counselling/coaching training, and experience

Supervision will be provided for career and personal counselling issues and approaches that our supervisors have as areas of competency. If our supervisors are not able to provide supervision for a specific therapeutic issue or modality, the Registered Provisional Psychologist will need to obtain external, CAP approved supervision.
